An edtech brand filling webinars nobody follows up on

The ads work. The webinar is good. Then 900 attendees are handed a single email and a hope.

Verdict

Excellent registration funnel bolted onto no conversion system.

Findings

    One email after the session, then silence

    We registered, attended, and received a single thank-you email with a payment link. Nothing after that. In a considered purchase, most conversions happen on the second, third or fourth touch — this funnel stops at the first.

  2. 02Critical

    No WhatsApp at any stage

    Confirmation, reminder and follow-up all arrived by email in a market that runs on WhatsApp. Attendance and conversion both suffer from channel mismatch before the content is even considered.

  3. 03Major

    No qualification captured at registration

    Four fields, none of which sort attendees by intent or background. Every post-webinar conversation therefore starts from zero, and the team cannot prioritise the people ready to enrol.

  4. 04Major

    Single reminder, sent 24 hours ahead

    Webinar attendance rates live or die on reminders. One the day before is not enough. Same-day and one-hour-before reminders typically move show-up rate substantially.

  5. 05Minor

    Replay not offered to no-shows

    People who registered and did not attend are the warmest audience the funnel produces. Sending them nothing writes off acquisition cost already spent.

What we did

Registered for a public webinar through their ad, attended the full session, and then documented every communication received over the following fourteen days.

Total: one email.

Where the money actually went

The ads are good. The landing page converts. The instructor knows the subject. Every expensive, difficult part of this funnel is working.

Then several hundred people who gave up ninety minutes of a weekend get one email, and the funnel ends.

This is the most common and most expensive failure we see in Indian edtech, and it is not a marketing failure. It is a systems failure that marketing gets blamed for.

Why the second touch matters more than the first

A course purchase is considered. The buyer weighs cost against uncertain future benefit, usually discusses it with family, and rarely decides in the ninety minutes after a webinar.

Which means the decision happens days after the moment the funnel currently ends.

On an account we ran with a comparable structure, a low-friction webinar entry point plus WhatsApp-based follow-up automation turned 15,000 leads into 5,800 qualified prospects and 780 paid admissions over 120 days. The webinar produced the interest. The follow-up produced the revenue.

Channel matters as much as content

Sending course follow-ups by email to an Indian audience is fighting the market. Open rates are low, the message sits alongside promotions, and there is no expectation of response.

WhatsApp is where this audience already lives, and where a reply costs them nothing. A confirmation the moment they register, a reminder on the morning of the session, another an hour before, then a structured sequence over the following week.

None of that requires a person to remember anything.

What we would change first

  1. WhatsApp confirmation on registration, immediately.
  2. Reminders at 24 hours, morning-of, and one hour before.
  3. Two qualification questions at registration — background, and how soon they want to enrol.
  4. A five-touch follow-up sequence over ten days after the session, differentiated between attendees and no-shows.
  5. Replay link to no-shows within two hours, with the offer attached.

Caveat

We saw one cohort from the outside. It is possible their sales team calls attendees and we simply were not called, and possible the funnel converts adequately regardless.

But the absence of any WhatsApp touch at any stage is structural. That is a build decision, not an execution gap, and it affects every cohort they run.
